FIVE STEPS, FROM TENDER TO FINAL FILE
How it works
One workspace for the whole document cycle, whether a full proposal, an expression of interest or a funding request. AI speeds things up; decisions and approval are always yours.
- 1
Analysethe tender or request
Create the opportunity, choose the document type (technical and financial proposal, expression of interest, funding request, project plan, cover letter, business plan, event proposal or sponsorship pitch) and upload the tender or terms of reference (PDF, DOCX, XLSX, TXT). Calau extracts requirements, criteria, deadlines and mandatory documents, each with its source page, and builds the compliance matrix.
- 2
Contextualisewith what is yours
Add the institutional profile, past proposals, methodologies, templates and references to the library, and upload consultants’ CVs: AI extracts the profiles and you review them. Authorisation to use the documents is your responsibility; the platform does not verify it. The dashboard measures context readiness and says what is missing. Only your organisation’s knowledge is used, never anyone else’s.
- 3
Buildthe document and the budget
Compare two to four methodologies and choose or combine; find the team from the profiles, with the recommendation explained; generate the sections of your document type’s structure, with citations and fields to confirm, and edit them in the editor. In the budget, AI proposes the cost structure and fills the rates with your own rates or, failing that, with indicative average costs for the country, researched automatically from public sources and refreshed every month.
- 4
Validatebefore delivery
Keep or change the indicative values, which always stay flagged. Go through technical, financial (when the document has a financial part) and compliance review, with recorded decisions and justified exceptions. The readiness check flags empty sections, mandatory requirements still open, fields to confirm, annexes, currency and deadline.
- 5
Exportready to submit
Export to DOCX, PDF and XLSX, in the tender’s language, with the note on indicative values when there are any, and submit through the tender’s own channels. Every generation, export and approval is kept in the organisation’s audit trail.
ONE PRINCIPLE AT EVERY STEP
AI proposes. People decide.
Calau never invents experience, references or values: reference prices come from identified public sources, with a date and a confidence level, and are always flagged as indicative. Anything it cannot support with sources is marked “to confirm”. Responsibility for the document and the values submitted always lies with whoever submits them.
